Zego: Lease Renewal

 

Zego (A Global Payments Company) is a property-management system that excels in the creation of white-labelled apps, lease payment processing, and management software for luxury apartment complexes.

My role: 

PRIMARY: Product Manager and UX Designer, involved in all levels of the design process.

Leases are complicated

Each state has their own specific requirements for lease agreements, and may require multiple addendums such as parking, asbestosis, and pets.

In order to provide a usable lease renewal tool for our users across the USA, we needed a way to make sure that all of the appropriate paperwork for a legally-binding lease was included in the lease renewal. This proved to be challenging, as addendum and coverage requirements vary between state to state (and sometimes city to city).

In addition, we needed to find a way to incorporate some form of valid signature capture into the app, which would require some sort of third-party integration. I led a few conversations with representatives from DocuSign, but found that they would not be a good fit for what we needed with this project.

Building relationships

The solution to both our lease paperwork and e-signature problems were solved with one key partner, Blue Moon Software. Blue Moon is leasing technology company that is funded by various apartment associations across the country. Their service includes offering easy access to lease creations by location. I led discussions with Blue Moon regarding integrating their software into our platform and connected engineers with the Blue Moon team to build out our API to include their data.

Mapping and Designing

After speaking with specialists at Blue Moon and interviewing property managers at various properties, I had a better grasp on what would make this tool as helpful and effective as possible. I started to map out various versions of a flow chart that would accommodate numerous variables, including: signatures of all residents (besides minors) without creating duplicate leases, and managing documentation throughout the process.

Once we reached a working flow, I began designing UI that corresponded with the needs of both property staff and resident mobile design.

The newly created Lease Editor was created in conjunction with Blue Moon Software.

Final

Once various iterations of the UI were created, designs and documentation were handed off to engineering. After a few months, what was published was a well-used tool that many properties have adopted as their new flow for renewing leases.
